2024 Policies, TERMS & PROCEDURES

PROGRAM POLICIES:

  • Our gym policies are in place to ensure the safety and well-being of our athletes and staff in a fun and educational environment.

  • Recreational and team level placements are determined by skill assessments and evaluations provided by the Recreational Director or the Team Director. 

  • Families must respect the coaches’ decisions on level placements in our programs.  

CLASSES BY SESSION(ALL WAVES PRESCHOOL GYMNASTICS LEVELS, ALL REIGNBOW GYMNASTICS LEVELS, RISING STARS, ALL NINJA PARKOUR LEVELS, ALL TUMBLING LEVELS):

  • Class sessions run every 5 weeks (6-7 weeks for 2024 Session 10).

  • All enrollments include auto-enrollment and auto-payment as part of registration and participation in any program. Auto-enrollment allows for each student to hold their spot in a class until a drop date is confirmed. 

  • Refer to the Class Sessions Calendar (print or website) for exact session start and end dates, any holiday closures, and auto-enrollment dates.  

  • Super Stars, Pre-team, and all Team Programs are billed monthly, rather than per session.

ANNUAL REGISTRATION FEE:

  • A $75 non-refundable Annnual Membership Registration Fee will be assessed per family at the time of enrollment in an ongoing recreational program or at an anniversary renewal date. 

  • Families with team athletes will be charged a separate “Team Registration Fee” as detailed in each team program’s handbook.

  • The annual registration fee is not charged for families who exclusively attend events, camps, clinics, or open gyms.

OPEN ENROLLMENT, TUITION & AUTO-ENROLLMENT:

  • New enrollments in the current session are always open but subject to class space availability. Tuition is pro-rated based on a student’s particular start date within the current session.

  • Start dates in a future session will open for registration two weeks prior to the start of the session (same day as auto-enrollment day).

  • Once a student is enrolled in a weekly class, their spot is reserved until a class drop date is indicated.

  • Tuition is prorated depending on how many classes are scheduled in a particular session or if a student starts enrollment in the middle of a session. A typical session (without holiday breaks or planned closures) will include 4 classes. 

  • All class enrollments include AUTO ENROLLMENT into the following session. Auto-enrollment and tuition charges/payments occur on the 3rd Sunday of each session. Please refer to the Class Sessions Calendar for exact auto-enrollment dates throughout the year.

  • Once auto-enrollment is processed, refunds/credits may only be issued according to our class drop and refund policies.

BILLING AND PAYMENTS POLICY:

  • Pro-rated Tuition is due at the time of enrollment. If enrollment begins in the second half of a session (after auto-enrollment for a subsequent session has occurred), then tuition for that subsequent session will also be charged. 

  • A credit or debit card (Visa, Mastercard, or Discover) must be on file for auto-payment processing and ProShop purchases.

  • Auto-enrollment issues due to credit or debit card processing failures may result in an enrollment being dropped.

TRIAL CLASS POLICY:

  • Each new student is allowed one paid drop-in trial class. 

  • Trials must be scheduled through the front desk after family account creation. 

  • Paid drop-in trial prices:

    • $20 - 45 min class trial

    • $30 - 55 min class trial

    • $40 - 85 min class trial

    • $50 - 120 min class trial

  • Trial classes must be paid in full at the time of registration.

  • Trials may only be scheduled within 1 week of the intended class time.

  • An enrollment spot in a trial class is only guaranteed at the end of the trial class. If a family leaves the gym without enrolling after a trial class, the enrollment spot is no longer guaranteed.

CLASS DROP POLICY:

  • 2 weeks of written notice is required to set a class drop date.

  • The drop date indicates the last day a student may attend a particular class.

  • Dropping a class must be done via the Class Portal, the Pacific Reign Gymnastics App, or by emailing a request to info@pacificreign.com. Please include the student’s full name, class day and time, and drop date (last date of intended participation).

  • A class drop may result in a pro-rated tuition credit to a family’s account ledger. Credits are valid for a year from the date of issuance.

  • Tuition for classes that are not properly dropped is non-refundable. For example, being unaware of the auto-enrollment feature of our classes is not an acceptable excuse. 

  • Class transfers (switching class times or levels) do not require notice or incur any fees.

ABSENCE & MAKEUP CLASS POLICY:

  • The makeup policy is an added benefit to our families on session enrollments. We remind families that having a makeup policy is an exception and not the norm for most youth sports, activities, or class environments. Enrollments are intended to hold and reserve a spot in a class. Attendance and adherence to all gym rules are the responsibility of the athletes and their families.

  • Expected future absences create makeup opportunities for other families. All families are encouraged to submit “Future Absences” as early as possible. Future absences must be submitted via the Pacific Reign Gymnastics app or the iClassPro Parent Portal in order to guarantee timely processing. Email, verbal, or phone submissions are not guaranteed to be processed successfully or on time. A future absence submission is considered successful if it is recorded within the iClassPro system and marked as excused.

  • Two types of makeup tokens are available: Class Makeup Tokens and Open Gym-Only Makeup Tokens. A student may be issued only two makeup tokens per calendar month per enrollment.

  • Class Makeup Tokens are generated for “excused absences” that are submitted more than 24 hours in advance of an expected future absence. These tokens should be used for the same class level missed and can also be used for Open Gym.

  • Open Gym Only Makeup Tokens are generated for same-day notification of an “unexcused absence” prior to the start of class time.

  • Makeup token issuance is limited to 2 per student per enrollment per month.

  • All makeup tokens are issued on the day of the missed class and expire after 60 days of issuance. 

  • Canceled classes due to weather or coach illness will also result in the issuance of Class Makeup Tokens that are not subject to the monthly two-token limit.

  • Unexpired tokens may be traded in for a credit towards any event:

    • Class Makeup Token - $15 Credit

    • Open Gym Only Makeup Token - $10 Credit

  • Makeup classes enrollment availability is limited to a one-week look-out period for scheduling.

  • Students must be actively enrolled in a class to use a makeup token.

  • Makeup tokens are non-transferable. 

DROPOFF/ARRIVAL & PICKUP POLICY:

  • All students must check in on designated kiosks at the front desk prior to entering a class. Check-ins will provide class time and coaching information as well as any other administrative notes for parents.

  • Students should arrive at least 5 minutes before their scheduled class or camp time and place all personal belongings in an available locker.

  • A parent or guardian must escort their student into the gym, even for drop-offs.

  • Late arrivals should check in with the front desk for instructions on how to join a class that has already started.

  • If dropping off, parents must pick up their student on time or will be subject to the “Late Pickup Policy”. 

  • Students must be picked up promptly at the end of each program class, camp, or event. 

  • A parent or guardian must come into the gym to pick up their child. If someone else is to pick them up, the front desk must have written permission in the family account notes. 

LATE CAMP OR OPEN GYM PICKUP POLICY:

  • A late fee of $1/minute per child will be charged starting 15 minutes after the scheduled end time of a camp or open gym. This fee also applies to classes that end at the close of business. For example, if camp ends at 9 PM and pick-up happens at 9:15 PM, the late fee will be $15. If pickup happens at 9:47 PM, the late fee will be $47. The purpose of this fee is to encourage timely and safe pickups that allow staff to close the gym at daily closing times.

  • The gym will attempt to contact the parent or guardian on file. If a parent or guardian cannot be reached after 30-60 minutes past closing time, the Woodinville Police may be contacted for assistance and safety.  

  • Repetitive late pickup or non-payment of late fees will result in the suspension of membership privileges.

INCLEMENT WEATHER POLICY:

  • Gym closures due to inclement weather will be notified via email and posted online via the gym website and social media. Makeup tokens will be automatically issued and will not count toward the monthly limits. 

  • Pacific Reign Gymnastics will use the Northshore School District weather closures and delays as a guideline only. There may be days when school is closed due to weather, but the gym is not. Please refer to the website and social media for any class closure or cancellation updates.

  • The gym will close for excessive heat if the internal gym temperature surpasses 90 degrees Fahrenheit.

CLASS REFUND POLICY:

  • Dropping a class enrollment prior to the end of a session may result in a tuition credit.

  • Any class credit balances can be refunded less a 10% administrative fee.

  • Credit balances expire after one year of issuance.

CAMP REFUND POLICY:

  • Camp cancellation at least 60 days prior to the start of camp enrollment can be refunded less a 10% cancellation fee. 

  • Camp cancellation within 30-59 days prior to the start of camp enrollment can be refunded less a 20% cancellation fee.

  • Camp cancellation within 15-29 days prior to the start of camp enrollment can be refunded less a 30% cancellation fee.

  • Camp cancellation within 8-14 days prior to the start of camp enrollment can be refunded less a 50% cancellation fee.

  • Camp cancellation within 7 days of the start of camp enrollment is non-refundable.  

  • Cancellations due to inclement weather will be refunded in the form of a gym credit. Refunds can be requested less a 5% administrative fee.

  • Camp Date Changes within 30 days of the start of camp enrollment will incur a $30 date change fee.

PARTY REFUND POLICY:

  • Cancellation at least 30 days prior to the reserved day of the party can be refunded less a 10% cancellation fee.

  • Cancellation between 15-29 days prior to the reserved day of the party can be refunded less a 25% fee.

  • Cancellation between 8-14 days prior to the reserved day of the party can be refunded less a 50% cancellation fee.

  • Cancellation within 7 days of the reserved day of the party is non-refundable.

CODE OF CONDUCT / STUDENT BEHAVIOR POLICY:

  • Students must be respectful of all rules, coaches, and fellow students.

  • Students who become disruptive to others in class/camp will not be able to participate in class. In certain cases, a parent may be contacted for early pick-up.

  • Students who exhibit bullying behavior towards others may be asked to sit out of class. Each case of bullying will be treated with urgency, investigated, and discussed with a parent or guardian.   

  • Students who are physically violent in class or camp will be removed immediately, and a parent will be notified for pickup.

  • There will be no refunds or credits for missing a class or camp due to disruptive/violent behavior.  

ADDITIONAL GYM RULES:

  • No gum is allowed anywhere inside the gym facility. 

  • Food and drink are allowed only in the mezzanine and front entrance areas. 

  • Only enrolled students (and one parent per student in Tiny Waves) may enter the designated gym areas. All other guests must stay in the designated viewing areas. 

  • Lockers are for clothing and personal items only. Lockers are not secured, so please leave all valuables at home. The gym is not responsible for any lost or stolen items.

  • Lost and Found items are placed in a bin near the entrance every day. Items are donated or discarded at the end of every session. 

  • Please clean up after yourself and your family with regard to food and other waste. 

GYMNASTICS ATTIRE

For All Participants:

  • Attire should prioritize safety, modesty, and functionality.

  • Leotards, athletic tops, and bottoms must be free from loose, sharp, or pointed adornments. This includes skirts and tutus.

  • Clothing should be clean and free from any offensive or inappropriate language or images.

  • Bare feet are required to ensure safety and improve balance and agility.

  • Long hair must be tied back and away from the face to prevent interference with skills and spotting.

  • Jewelry, including Fitbit devices, must be removed before entering the gym. In the case of religious necklaces that cannot be taken off, they should be securely tucked in and positioned in a manner that does not cover the face or extend into the hair when upside down.

  • Additional clothing or accessories, such as grip gloves or wristbands, must be approved by a coach.

We recognize that there may be special cases where specific dress code requirements may not be appropriate or comfortable for some participants. We want to assure you that we will work with these individuals and their families to find a solution that is both safe and respectful.

Non-adherence to the attire policy may result in being asked to change or leave the training or competition.

NINJA DRESS CODE & GENERAL POLICIES:

Attire:

  1. T-shirt and shorts with full coverage are recommended for Ninja/Parkour (no tummies showing). Clothing should be clean and free from offensive or inappropriate language or images.

  2. No skirts allowed.

  3. Avoid buttons, buckles, snaps, or zippers on shirts or shorts to prevent potential injuries and equipment damage.

  4. Leotards, athletic tops, and bottoms should be free from loose, sharp, or pointed adornments.

  5. Athletic shorts or pants are necessary for parkour and Ninja activities.

  6. No skirts, dresses, tutus, or jewelry, including Smartwatch devices.

  7. Bare feet are required for safety, balance, and agility.  [No grip socks allowed.]

Hair:

  1. Long hair must be neatly and securely pulled away from the face for the entire workout.

  2. Avoid large hair ornaments like beads or bows that may cause discomfort during activity.

Jewelry and Accessories:

  1. No jewelry is allowed. Please leave all jewelry articles at home.

  2. Smartwatch devices and other accessories must be removed before entering the gym.

  3. For religious jewelry that cannot be removed, securely tuck them in and/or position them to avoid covering the face or extending into the hair during upside-down activities.

General Policies:

  1. All personal items should be left in lockers.

  2. No chewing gum is allowed.

  3. Phones and smartwatches are not permitted during classes. They should be left with parents or stored away before entering the gym.

  4. Observers are welcome in the Gym Observation Area but should watch quietly.

Note: Attire should prioritize safety, modesty, and functionality. Please be mindful of personal hygiene to ensure a comfortable environment for everyone.
