PROGRAM POLICIES:

Pacific Reign Gymnastics’ policies are in place to ensure the safety and well-being of our athletes and staff in a fun and educational environment.

PER SESSION VS PER MONTH TUITION:

PROGRAMS BILLED PER 5-WEEK SESSION

  • Included Programs: Waves Preschool Gymnastics, Reignbow Recreational Gymnastics, Ninja Parkour, and Tumbling.

  • Session Duration: Class sessions run for 5 weeks and may include up to 5 classes, depending on holidays and other closure dates.

  • Auto-Enrollment: All enrollments include auto-enrollment and auto-payment. Auto-enrollment allows each athlete to hold their spot in a class until a drop date is confirmed.

  1. Class Sessions Calendar: Refer to the Class Sessions Calendar (print or website) for exact session start and end dates, holiday closures, and auto-enrollment dates.

    PROGRAMS BILLED PER CALEDNAR MONTH 

  2. Included Programs: Developmental Gymnastics, Xcel Team, and Dev Team.

ANNUAL REGISTRATION FEE:

  • A $75 non-refundable annual registration fee is assessed per family at the time of enrollment in a recreational program or on the anniversary renewal date.

  • The annual registration fee is required for eligibility for private lessons.

  • Families with team athletes will be charged a separate “Team Registration Fee” as detailed in each program’s team handbook.

  • The annual registration fee is not required for attendance at events, camps, or open gyms.

OPEN ENROLLMENT, TUITION & AUTO-ENROLLMENT:

  • Open Enrollment: New enrollments in the current session are always open but subject to class space availability. Tuition is prorated based on the athlete’s start date within the current session.

  • Future Session Enrollment: Start dates for future sessions open for registration two weeks prior to the session start date (same day as auto-enrollment day).

  • Tuition Proration: Tuition is prorated based on the number of classes scheduled in a session or if a athlete starts in the middle of a session.

  • Auto-Enrollment: All class enrollments include auto-enrollment into the following session. Auto-enrollment and tuition charges/payments occur on the 3rd Sunday of each session. Charges/payments are non-refundable once auto-enrollment is processed.

BILLING AND PAYMENTS POLICY:

  • Pro-rated Tuition: Due at the time of enrollment. If enrollment begins in the second half of a session (after auto-enrollment for a subsequent session has occurred), then tuition for that subsequent session will also be charged.

  • Payment Method: A credit or debit card (Visa, Mastercard, or Discover) must be on file for auto-payment processing and ProShop purchases.

  • Payment Failures: Auto-enrollment issues due to credit or debit card processing failures may result in the enrollment being dropped.

TRIAL CLASS POLICY:

  • Trial Class: Each new athlete is allowed one paid drop-in trial class. Trials must be scheduled through the front desk after creating a family account.

  • Trial Prices: $20 for a 45-minute class, $30 for a 55-minute class, $40 for an 85-minute class, $50 for a 120-minute class.

  • Registration and Payment: Trials must be paid in full at registration and can only be scheduled within one week of the intended class time.

  • Spot Guarantee: An enrollable spot in a trial class is only guaranteed until the end of the trial class. The spot is no longer guaranteed if a family leaves the gym without enrolling.

CLASS DROP POLICY:

  • Notice Requirement: To avoid auto-enrollment into the next session, notice to drop must be received before the stated auto-enrollment date (two weeks before the end of each session).

  • Drop Date: Indicates the last day a athlete will attend a particular class.

  • Drop Method: Dropping a class must be done via the Class Portal, the Pacific Reign Gymnastics App, or by emailing info@pacificreign.com. Include the athlete’s full name, class day and time, and drop date.

  • Non-refundable Tuition: All tuition for class enrollments is non-refundable. Written notice to cancel is required no less than two weeks prior to the next session.

ABSENCE & MAKEUP TOKEN POLICY:

  • Makeup Policy: Makeups are an added benefit to families on session enrollments. 

  • Submitting Future Absences: Future absences must be submitted via the Pacific Reign Gymnastics app or the iClassPro Client Portal in order to guarantee timely processing. Email, verbal, or phone submissions are not guaranteed to be processed successfully or on time. A future absence submission is considered successful if it is recorded within the iClassPro system and the absence marked as excused.

  • Makeup Tokens: Two types - Class Makeup Tokens and Open Gym-Only Makeup Tokens. Each athlete may be issued only two makeup tokens per calendar month per enrollment.

  • Class Makeup Tokens are issued for future absences submitted more than 24 hours before a scheduled class. These absences are marked as excused.

  • Open Gym-Only Makeup Tokens are issued for future absences submitted within 24 hours of a scheduled class. These absences are marked as unexcused

  • Canceled classes due to weather or coach illness will also result in the issuance of Class Makeup Tokens that are not subject to the monthly two-token limit.

  • Token Expiry: All makeup tokens are issued on the day of the missed class and expire 60 days after issuance.

  • Usage: Makeup classes enrollment availability is limited to a one-week look-out period and can be scheduled through the Client Portal or the Pacific Reign app. Athletes must be actively enrolled to use a makeup token. Tokens are non-transferable.

DROPOFF/ARRIVAL & PICKUP POLICY:

  • Check-in: All athletes must check in at the designated kiosks at the front desk before entering a class.

  • Arrival Time: Athletes should arrive at least 5 minutes before their scheduled class or camp time and place all personal belongings in an available locker. A parent or guardian must escort their athlete into the gym, even for drop-offs.

  • Late Arrivals for Waves Preschool Classes: Athletes may join class up to 10 minutes after the start time; after this grace period, they may not enter to minimize disruption. If arriving late, families can request an open gym makeup token at the front desk, which will count toward the monthly limit of two makeup tokens.

  • Pickup: Parents must pick up their athletes on time. A parent or guardian must enter the gym to pick up their child. If someone else is to pick them up, the front desk must have written permission.

LATE CAMP OR OPEN GYM PICKUP POLICY:

  • Early Drop-off Fee: $30 for arrivals before 8:45 AM for a scheduled camp.

  • Late Pickup Fee: $1 per minute per child starting 15 minutes after the scheduled end time for a scheduled camp, class, or open gym. For example, if an event ends at 9 PM and pick-up occurs at 9:15 PM, the late fee will be $15. If pickup occurs at 9:47 PM, the late fee will be $47. This fee aims to ensure timely and safe pickups that allow staff to close the gym on time.

  • Contact Attempts: If a parent or guardian cannot be reached after 30-60 minutes past closing time, the Woodinville Police may be contacted for assistance.

  • Repetitive Late Pickup: May result in the suspension of membership privileges.

INCLEMENT WEATHER POLICY:

  • Notification: Gym closures due to inclement weather will be notified via email and posted online via the gym website and social media. Class makeup tokens will be issued automatically for session enrollments and will not be subject to the 2 tokens per month limit.

  • Weather Guidance: Pacific Reign Gymnastics will use the Northshore School District weather closures and delays as a guide only. There may be days when school is closed due to weather, but the gym is not.

  • Excessive Heat: The gym may close if the internal temperature surpasses 90 degrees Fahrenheit.

REFUND POLICY:

  • Non-refundable Tuition: All tuition for class enrollments is non-refundable. Written notice to cancel is required no less than two weeks prior to the next session. See section CLASS DROP POLICY.

CAMP REFUND AND CHANGE POLICY:

  • Camp cancellation at least 60 days prior to the start of camp enrollment can be refunded less a 10% cancellation fee. 

  • Camp cancellation within 30-59 days prior to the start of camp enrollment can be refunded less a 20% cancellation fee.

  • Camp cancellation within 15-29 days prior to the start of camp enrollment can be refunded less a 30% cancellation fee.

  • Camp cancellation within 8-14 days prior to the start of camp enrollment can be refunded less a 50% cancellation fee.

  • Camp cancellation within 7 days of the start of camp enrollment is non-refundable.

  • Camp DAY CHANGE within 7 days of the start of camp will incur change fees based on the following schedule:

    • 1 of 5 days - $30

    • 2 of 5 days - $50

    • 3 of 5 days - $70

    • 4 of 5 days - $85

    • 5 of 5 days - $100

PARTY REFUND POLICY:

  • Cancellation at least 30 days prior to the reserved day of the party can be refunded less a 25% cancellation fee.

  • Cancellation between 8-29 days prior to the reserved day of the party can be refunded less a 50% cancellation fee.

  • Cancellation within 7 days of the reserved party date is non-refundable.

CODE OF CONDUCT / ATHLETE BEHAVIOR POLICY:

Respect: Athletes must be respectful of all rules, coaches, and fellow athletes.

  • Disruptive Behavior: Athletes who become disruptive to others may not continue to participate. In certain cases, a parent may be contacted for early pick-up.

  • Bullying: Athletes who exhibit bullying behavior towards others may be asked to sit out of class. Each case of bullying will be treated with urgency, investigated, and discussed with a parent or guardian.

  • Physical Violence: Athletes who are physically violent will be removed immediately, and a parent will be notified for pickup.

  • No Refunds: No refunds will be issued for disruptive/violent behavior.

ADDITIONAL GYM RULES:

  • Gum: Not allowed inside the gym facility.

  • Food and Drink: Allowed only in the mezzanine and front entrance areas.

  • Designated Areas: Only enrolled athletes and one parent may enter the designated preschool areas.

  • Lockers: For clothing and personal items only. The gym is not responsible for lost or stolen items.

  • Lost and Found: Items are placed in a bin near the entrance daily and donated or discarded at the end of every session.

  • Cleanliness: Families must clean up after themselves regarding food and other waste.

GYMNASTICS ATTIRE

For All Participants:

  • Attire should prioritize safety, modesty, and functionality.

  • Attire must have full coverage for Gymnastics Classes (no tummies showing).

  • Leotards, athletic tops, and bottoms must be free from loose, sharp, or pointed adornments. This includes skirts and tutus.

  • Clothing should be clean and free from any offensive or inappropriate language or images.

  • Bare feet are required to ensure safety and improve balance and agility.

  • Long hair must be tied back and away from the face to prevent interference with skills and spotting.

  • Jewelry, including Fitbit devices, must be removed before entering the gym. In the case of religious necklaces that cannot be taken off, they should be securely tucked in and positioned in a manner that does not cover the face or extend into the hair when upside down.

  • Additional clothing or accessories, such as grip gloves or wristbands, must be approved by a coach.

We recognize that there may be special cases where specific dress code requirements may not be appropriate or comfortable for some participants. We want to assure you that we will work with these individuals and their families to find a solution that is both safe and respectful.

Non-adherence to the attire policy may result in being asked to change or leave the training or competition.

NINJA DRESS CODE & GENERAL POLICIES:

Attire:

  1. T-shirt and shorts with full coverage are recommended for Ninja/Parkour (no tummies showing). Clothing should be clean and free from offensive or inappropriate language or images.

  2. No skirts allowed.

  3. Avoid buttons, buckles, snaps, or zippers on shirts or shorts to prevent potential injuries and equipment damage.

  4. Leotards, athletic tops, and bottoms should be free from loose, sharp, or pointed adornments.

  5. Athletic shorts or pants are necessary for parkour and Ninja activities.

  6. No skirts, dresses, tutus, or jewelry, including Smartwatch devices.

  7. Bare feet are required for safety, balance, and agility.  [No grip socks allowed.]

Hair:

  1. Long hair must be neatly and securely pulled away from the face for the entire workout.

  2. Avoid large hair ornaments like beads or bows that may cause discomfort during activity.

Jewelry and Accessories:

  1. No jewelry is allowed. Please leave all jewelry articles at home.

  2. Smartwatch devices and other accessories must be removed before entering the gym.

  3. For religious jewelry that cannot be removed, securely tuck them in and/or position them to avoid covering the face or extending into the hair during upside-down activities.

General Policies:

  1. All personal items should be left in lockers.

  2. No chewing gum is allowed.

  3. Phones and smartwatches are not permitted during classes. They should be left with parents or stored away before entering the gym.

  4. Observers are welcome in the Gym Observation Area but should watch quietly.

Note: Attire should prioritize safety, modesty, and functionality. Please be mindful of personal hygiene to ensure a comfortable environment for everyone.

We recognize special gender cases and will work with athletes and their families to find a safe and respectful solution. Non-adherence to the attire policy may result in being asked to change or leave training or competition.
